Documents and Downloads
HTML should be the default for information that visitors need to read online. Use downloadable documents when the format serves a clear purpose, such as a printable form, official publication or file intended for offline use.
- Ensure PDFs and Office files are accessible before publishing.
- Use meaningful file names; avoid names such as final_v2_updated.pdf.
- Replace obsolete versions in the CMS and unpublish or delete superseded copies when retention rules allow.
- Do not rely on the link being removed; an old file can remain indexed and reachable.
- Include document title, version/effective date and ownership information inside documents when appropriate.
- Avoid spaces and special characters in filenames; use short, readable words separated consistently by hyphens.
